How to Wipe and Clean Excel Spreadsheets Thoroughly

MS Excel is an extremely useful tool that has revolutionized the way we crunch data. Now, data analysis can be performed at home, work or school by the average person who owns a computer. A person using Excel for the first time can be up and running in a manner of minutes, entering data and formulas into cells and finding answers to questions they have about their data.

Not only is MS Excel useful, it is also a very widely-used piece of software. A copy of the software ships standard with most PCs today and is also in common use on many Macs. Excel has been around for over 20 years and has gone through a number of new versions along the way. Each new version has introduced more features and a more user-friendly interface.

Excel has a large number of uses and areas of application. In general terms, the most common uses of Excel are to perform what-if scenarios, store data as if in a database, and to perform simple or complex calculations for financial or engineering applications.

A Common Problem: How to Wipe Clean a Spreadsheet or Range of Cells

Given the increasing availability of large amounts of data, Excel users are now processing larger and larger data sets within individual files (or workbooks, as they are called in Excel). In addition, people may use the same file over and over again over a period of months or even years, adding, moving, changing and deleting data on a weekly or even daily basis. These, among other factors, can lead to the need to effectively wipe and clean a spreadsheet (or a range of cells).

There are different techniques you can employ to clean your spreadsheet. In some cases, you may want to delete the data but preserve the formatting. In other situations, you may want to completely delete everything in the cell, including data and formatting. Also, there are certain situations that advanced users will encounter whereby certain functions (e.g., VLOOKUP) are not performing as they should. In many such case, the culprit is "dirty the data needs to be cleaned up by removing some "dirty data" not visible to the eye but that is affecting your functions.

Here are common techniques for to wipe and clean Excel. Let's start with the most common techniques and work our way to down to the heavy duty techniques for stubborn worksheets.

1. To remove data only, use the Delete key:

This one is known to most any Excel user, but it's worth reviewing because it will do the trick for any situation whereby you just want to delete the data in a cell but leave the formatting in place. Just highlight the cell or range of cells in question and press delete. Or, you can right-click and select Delete from the menu.

2. To delete only formats or only data but not both use the Clear function:

If you want to remove just data (values) or just formatting but not both, the Clear function comes in handy. Just highlight the cell or cells in question and, from the Home tab in Excel, find the Editing section (far right side of the Excel ribbon) and find the little eraser. Select the down arrow next to the eraser and select the function you want. Select Clear Formats to remove formats but keep the values and select Clear Contents to remove values but preserve the formatting.

3. Paste as Values into a new worksheet:

If some of the data in the worksheet is giving you problems and you just want to start fresh, try copying the entire worksheet into a worksheet in a new workbook (file). To do so, just highlight the entire worksheet (ctrl + A will do the trick) and then copy the contents (ctrl + C). Then, open a new file and select all cells (ctrl + A again). Instead of pasting, however, you want to select Paste as Values (this will keep you from copying over any uncooperative or unwanted formatting). Just right-click and select Paste, then Paste as Values from the Paste dialog box. Be sure to save your new workbook!

4. Copy and paste into a text editor and remove unwanted characters:

This one is a last resort, but it has saved my skin on more than one occasion. Use this if you still suspect there is unseen (or "dirty") data in the background that is messing up your day. (Note: you will find this a lot when you bring in data from unknown sources, for example). First, select the entire worksheet and copy the contents, then paste the contents into a text editor program like Notebook (ships for free with Windows) or Text Pad (not free but worth the price). If you notice any odd characters that weren't there before, you have found your culprit. Just use "Find and Replace" to eliminate them, then copy/paste the resulting data back into Excel - preferably in a fresh file.

At least one of these methods to wipe and clean Excel should help you out in a time of need!

Conquering the Elevator Speech

Ah, the 30-second elevator pitch. How many times have you said yours now? Several hundred? Several thousand? How do you keep it fresh, inspired, and successful in making a powerful first impression on every potential client or colleague you meet? Please read on for a few tips toward that end.

One problem I often encounter in the elevator pitches I hear is that people usually describe the features of the services they provide as opposed to the benefits. When hearing about a product, listeners want to know what it's going to do for them or how it's going to change their lives. In other words, you must refer to the benefits of your product or service, not a description of its characteristics (features). Clearly distinguish between the two, and leave features completely out of the pitch.

Connect with your passion, your inspiration for what you do, and convey that to your listener(s). The more that people you network with see and feel your inspiration, the greater the chance that they will be inspired to use your products or services. Additionally, you will come across with greater authenticity, and the elevator speech will feel like less work for you.

Be present in the moment. It can become difficult to sound fresh and enthusiastic when you're delivering your 30 second pitch for the umpteenth time, are stressed, preoccupied and so on. For many of us, it is regularly challenging to deliver our elevator speech sounding relaxed, energized, and focused, yet that is how we need to be to for maximum success.

Identify and eliminate the negative self-talk. What do you say to yourself internally before you introduce yourself to someone professionally? When you rise to speak in front of any individual or group? Is it a self-criticism? Pay careful attention to the thoughts that go through your head as you're about to begin your pitch, and if you find that you have a negative self-critic inside your head, make that voice to go away.

Last but not least, you must feel confident and comfortable with your attire. It is important to feel like a stylish, successful professional in whatever you're wearing. HP Officejet Pro L7580 Review

I have a small insurance and home mortgage business in Houston Texas. We have five HP 6310 printers and they have done a good job for us over the last year. However the 6310's are expensive to operate because of the ink cartridges. I have recently started replacing these printers with the HP Office Jet Pro L7580.

I have learned that for medium or high volume printing the ink cartridge cost is the key to low cost printing. I have spent far more for ink in the last year than the cost of the printers. With the HP6310 the two cartridges hold 18 ml of ink and cost about $35 for both. With the HP L7580 there are four cartridges. There is an XL option where the black holds 58.5 ml and the color cartridges hold 17 ml each for a total of 109 ml for about $110. That is about 6 times the ink for three times the price. That saves me about 50% on my ink expense. It also greatly reduces the inconvenience of ink running out at a bad time.

In my area the HP L7580 is now selling for around $270 compared to around $180 for the HP 6310. If you do very much printing the ink savings makes the L7580 a much better deal.

The HP L7580 has very fast speeds for printing, faxing, copying, and scanning. This is an excellent "all-in-one" printer! The print text and photo print quality is very good.

If you get this machine I suggest switching to the XL cartridges when the original ones get used up. To conserve ink you can select "draft" quality which is good enough for most purposes. Trust me, don't use refill or non HP cartridges! They may viod the warranty and some cause poor print quality.

For complaints, the first L7580 printer I got was D.O.A. and HP tech support wasn't much help. And the machine took me about one hour to set up and to load the software. Now I am past those problems and can forgive HP for these problems because the printers excel. The paper feed however is an iritation because midfeads are frequent.

But the downside of this is that common stocks could rise by a huge amount and end up being more profitable than preferred stocks. You need to ask yourself how much risk you want to have with your investment, and what you would like to earn from it.

I get a great feeling every time I achieve a goal, whether I made it a week ago, or 5 years ago. There comes a certain satisfaction when you reach a successful point in your life. Making goals is critical for a fulfilling life. When it comes to finance, if you want to successfully plan your money, you need to make goals.

I love spreadsheets. I use them for everything I can and every kind of organization. I, honestly, don't know what I would do without them or what how I used to cope before I first discovered them. I use a spreadsheet to balance my checkbook, to manage my business expenses, and to make 'To Do' lists to plan out my days. I also use spreadsheets to manage my money and set my financial goals.

I like using spreadsheets for monetary goals because of the functions I can use. If you are working towards a savings goal, using a word processor or writing them out will require constant updating. With a spreadsheet, you can simple add in how much more you've saved, and if you had the right formulas set up, it will do it all for you.

First, set up a different sheet for your long term goals and your short term goals. You can have long term goals and then break them up into short term goals as well as have separate goals. Make the sheet look appealing with bold headers and colors. If you don't know how to use excel or other spreadsheet programs, you really only need the basics. Search the net to find out how to get started with spreadsheets.

Next, add the dollar amount of your goals and the time in month or years. The long term goals will probably be in years and the short term goals in months. Set up a formula to divide the total goal amount by the goal length in months. This is the amount you need to save each month to achieve your goals.

Set up a budget to help you save more money if you feel you can't make your goal savings each month. For extra help, open up another sheet and record your progress. Every week or every month write about how you are reaching your goals and if you are able to save the minimum each month. They Are Happy to Come to My Meetings! Conduct an Effective Meeting

You know, from earlier articles, that the facilitator's job is to keep the meeting focused on the objective and to proceed at a pace that will achieve the objective within the scheduled time. This requires a focus on four components: the people, the content, the process and the time. Let's start with the most complex component, people.

People

An important key to remember is that everyone is not like you. There are a variety of different types of people who with a variety of needs.


Some people tend to be big picture thinkers who may be less enchanted by the details. (These people are necessary to supply ideas and strategies.)
Some people are action oriented and think that all of this talking and planning is a waste of valuable time. They want to get to it. (These people supply the energy.)
Some people require more detail to feel comfortable before moving forward. (These people supply the planning and need to fill in the gaps before proceeding. They help to prevent surprises.)
Some people are relationship oriented and require some schmoozing to feel comfortable. (These people keep the other three types from killing each other.)

The facilitator should also keep in mind that people come to meetings carrying a lot of other personal baggage as well: egos confidence/fears, likes/dislikes, optimism/pessimism, personal situations, etc. The skilled facilitator takes all of these factors into account when adjusting the focus of people toward the objective.

When dealing with the people in a meeting, keep in mind that you want their cooperation and their goodwill. You need to have positive energy. You need them to keep moving toward the objective. You will not get this if you embarrass them, point out the shortcomings in an obvious manner, or back them into a corner.

You should handle problems indirectly, where possible. A soft touch maintains the goodwill of the person. A direct, forceful, heavy-handed approach has a high potential to cause the person to shut down, thereby removing their value from the meeting. This type of action also interjects a negative tone into a meeting. Positive energy is much more helpful in achieving the objective.

Effective meeting facilitation requires all of the communication skills that you've learned in many other places.


Active listening.
Reflective listening
Positive reinforcement.
Open ended questions (find out what they think.).
Closed ended questions (confirm what you think).

When you have a different point of view, do not confront the other person by telling them that they're wrong. This sets up a win/lose situation. Don't address their "story". Instead, respond by telling them how it looks from your point of view, how you saw it, from the information you have, etc. Simply tell your "story". Now you have two different versions of the same story. This is easier to deal with than a contest between two individuals.

Keep in mind that you can not reach the objective of the meeting if the people do not interact with the content and each other around the content. Your job is to keep them cooperative and contributing.

Content

Everyone does not know what you know, and vice versa. Therefore it is important for everyone to contribute their piece of knowledge to the discussion. When that happens, everyone has the same level of knowledge about the subject. This put you in a better position to hit your objective. So you must encourage quiet people to speak and control the discussion dominators.

There will be times when the discussion takes a side road. In your facilitator role, you need to recognize whether the side road is a shortcut to the objective or is it a detour that takes the discussion somewhere else. When you determine that it is a detour, I recommend that you do not just shut it off. Instead ask a question like, "This story is interesting. But how will it help us to get to (state objective)?" This is a soft approach to getting the person to shut off the story themselves without you having to jerk them back onto the main road. On the other hand, you may find out that it does apply and you simply didn't recognize it. The soft approach keeps you from making a misstep.

Process

Keep It Moving.

The facilitator needs to continuously scan the room.


Is the content appropriate and will it lead to our objective?
Are all of the people engaged with the content?
Will the current path achieve the objective?

Time

Will the current pace allow you to hit the objective within the meeting time?

If yes, carry on. If no, make the appropriate corrections. If the appropriate corrections are not obvious, be willing to ask the participants what they see as the path to achieve the objective.

Summarize and Close.

You should summarize the meeting. A summary increases in importance with the length of the meeting.


Review the points covered.
Restate the objective.
Restate the criteria for success
State the data that demonstrates that the meeting has achieved the objective.
Restate Action items and responsibilities

You must, MUST restate decisions made and action items with responsibilities. Repeating them makes it clear what you think happened; reminds people who may have forgotten decisions and action items from earlier in the meeting; and gives them an opportunity to speak up if they disagree.

If there are next steps, they should be listed here. If there is time, ask the attendees, what worked well and what didn't. This is necessary information to improve you next meeting. Thank the attendees and close the meeting.

End the meeting on time!

Respect the time and scheduling needs of your attendees.

People will leave the meeting with a clear understanding of what was accomplished. They will have a consistent idea of what was decided and who has what action items.

And, best of all, they will know that they came here to accomplish something important and they leave having accomplished it!

Most people think that they are done at this point. However, you still have two things to do After The Meeting to cement the success of your meeting. Stay tuned.

Very good price from Greatbuy Software Outlet. Product arrived in a few days in quality outer packaging. As for the program itself, I like the latest changes to MS Office. I have used other versions over the past 12-15 years and I like the way the menus/ribbon work on this update. Using Excel and Outlook much more than Word, the changes to these programs definitely seem to be an advance for MS in terms of point-and-click facilitation. The license for installation on a second PC is an added bonus.

    The product works with a lots of bugs until I update my windows XP. However, as everybody knows, the updated windows XP makes my Dell lap top very slow because the Operating system is full of patches and junks that is not suitable for lap top operations. So, once again, Microsoft products is buggy and slow. The IC industry should thank Microsoft for all those lousy slow and bulky software so that the demand for faster and more power hungry chips can be sustained.



    What were they thinking? - Plier 5 -
    I have used various versions of Microsoft Office for almost 15 years, and recently upgraded to Office 2007 from Office 2003. What a shock! Office 2007 does not even remotely resemble Office 2003 anymore. All the menus have been changed, and it is extremely non-intuitive. Good luck trying to find the command your looking for (took me several minutes in Word to find where they placed the "print" command, and "help" is well hidden as well). This new version is terrible, as you are essentially forced into learning completely new pieces of software. If this is Microsoft's idea of improvement, it will be the last Office upgrade I ever purchase.

    A Nursing Career Outlook For 2010 and Beyond

    There are many people wondering about the nature of their jobs in the middle of an economic downturn that will be remembered for centuries.  As a nurse or student, you need not worry; the profession is actually in a shortage.  According to an American Association of Colleges of Nursing fact sheet, "Dr. Peter Buerhaus...found that despite the current easing of the nursing shortage due to the recession, the U.S. nursing shortage is projected to grow to 260,000 registered nurses by 2025.  A shortage of this magnitude would be twice as large as any nursing shortage experienced in this country since the mid-1960s."

    There are generally two major areas in which the nursing shortage takes its toll.  The first is attrition that takes place in every profession, retirement.  As nurses are poignantly aware, particularly those in geriatric specialties, people age and move from the career segment of their lives to the "golden years".  This opens many opportunities for young nurses to move forward in their careers.  In New York State alone, the number of practicing nurses under age 30 went from 25.1% to 10%.  This trend is certain to continue with rising age of the Baby Boomers.  When more nurses retiring coupled with the aging population takes hold, it's easy to see why demand will increase for the nursing community.

    The second issue is the prospect of comprehensive, or universal, health care on the horizon.  Regardless of your political stand on the issue, it is very likely that the scope of potential patients will rise dramatically from some form of legislative reform.  This works in the favor of nurses and nursing students.  An increase in patients obviously calls for an increase in those who care for them. 

    Conservative estimates generally indicate that the increased coverage will lead to 12-15 million insured patients.  More liberal estimates place the number closer to 47-50 million.  The added stress on the system will affect all areas of nursing, but many experts believe it will particularly affect the Emergency Departments and nurse practitioners most directly to begin, since doctors will also see an increase in their patient load, and thus employ the use of NP's more often to effectively treat everyone.

    More than likely, universities will soon increase the number of seats in nursing schools to accommodate for these influxes.  This is nothing less than a windfall for the industry from the new RN to the Practitioner who's been working since the 1960's.  The demand for experienced nurses will increase dramatically, and the commensurate pay will increase as well.  For the relatively new nurse, opportunities will arise in specialized fields that had once been very selective courses.  Perhaps now is the time to take those classes in Obstetrics or Cardiac Care.  And of course the nursing student will be looking to a future of immediate and lasting job prospects in the field long after graduation, something that their peers can envy in times of economic strife.  Things look up for the nursing profession for a long time to come.

    2010 Olympics Vancouver

    I live here in Vancouver the site of the 2010 winter Olympics. I am totally excited about this fabulous sporting event. Providing the world stage for this amateur event is a huge accomplishment for the organizing committee. I just wish more people felt the same way.

    The local media is of course all over this event and all the preparations that are going on to make it all come together. What I can't seem to get my head around is all the negativity that seems to be surrounding the coverage. Granted lots of money have to be spent to ramp up the facilities required to put the Olympics on. But the naysayers seem to be forgetting that not only is all this money being spent in the local economy stimulating many local businesses but we will also have all these venues left for future generations to enjoy. They won't go away after the two-week event. These facilities will be enjoyed by many generations to come.

    I know that some of the previous Olympics have not been a smashing financial success. But I bet that very few of those host nations in the end regret having done all that they had to do to put on the show. The boost to the local economy and the dollars that follow no doubt made up for any front-end investment in the event. And let's not forget the Olympics are about the athletes not the opportunity to profit from the event.

    Of course there are financial risks. Especially in these tough economic times. Isn't stimulus spending the order of the day though? It seems to me that the Olympics are the perfect place to stimulate our local economy. The Olympic village being built to house the athletes is an example of this. Due to the global credit crunch the city is being forced to underwrite the cost of construction. The media seems to think this a complete outrage. What they miss reporting on is these condo units are going to be for sale on the open market once the Olympics are done. In that neighborhood condos sell for an outrageously high amount of money. The city can't help but not only just make their money back but make a tidy profit as well.

    I am confident that when the opening ceremonies start the detractors will be largely silenced. Pride in our hosting the Olympics will be overwhelming. I suspect even the media will be jumping on the bandwagon and be reporting on the amazing job that Vancouver and Whistler is doing putting on the games. Olympic fever will trump even cost concerns at least until the events are over.

    No doubt on the day following the closing ceremonies the headlines will return to cost overruns and financial mismanagement. Even without any real possibility so soon of an accounting of all that happened. The true cost and revenue generated can't possibly be known for at least a few years following the event. Tourist numbers and dollars will likely grow for several years after.

    Security is obviously a huge issue around these types of events and the cost is very high. I admit this might be turn out to be an outrageously high expense. It is a sad testament to the times we live in. But even with these added costs I am confident the games will be a success both financial and as an event that will put Vancouver on the map.

    Having said all this I would still like to see the Olympic games brought back down to reality. Do we really need those opening and closing ceremonies that have become larger events then the athletic events themselves? The money and efforts they consume has risen to the point of being absurd. The Olympics is supposed to be an amateur sporting event not the commercial spectacle that it has become. I am certain the athletes would welcome the focus returning to the games and away from the circus it has become.

    Many presenters take questions from the audience and answer them, but fewer ask the audience questions. Asking the audience questions has many benefits, including:

    * Breaking the ice -- when you do it early in the presentation
    * Getting the audience involved
    * Giving the presenter crucial information about the audience, including what they're interested in, what they already know, and what their needs are
    * Waking up the audience (works well after lunch and in the late afternoon)
    * Getting feedback on how much they understood
    * Uncovering objections or disagreements (important if you're trying to persuade the audience)
    * Showing respect for the audience's point of view

    Some of these benefits you obtain by taking questions from the audience -- if they ask the questions they have. But you'd be surprised how many people never ask questions.

    Other benefits are unique to the technique of asking the audience questions. You start a conversation. Try to build flexibility into your presentation so you can respond to the answers you obtain. For example, some audiences want you to get straight to the point and others want lots of backup details. You may not know in advance which type of audience you'll have, although it's good to do some early research, if possible. You can have slides with the details available and show them only if your audience says they want to see them. You can do this using the custom show feature or by linking to a separate presentation.

    When you ask questions, you need to plan out the questions you'll ask and plan for possible answers.

    Try asking your audience questions at your next presentation and see if you get better results compared to just speaking yourself straight through.
