Baltimore Ravens Outlook

It's been several years since the Baltimore Ravens took home the Super Bowl XXXV Championship and to Baltimore fans, that's far too long. The team had a great year in 2006 with a 13-3 record but faltered in 2007 with a 5-11 season record, and an absence from the playoffs. In the 13th season, the Ravens hope to improve their score and represent the AFC North. This season they will face strong competition from the AFC South Division and the NFC East Division, as well as the Oakland Raiders from the AFC West Division and Miami Dolphins from the AFC East Division. According to game analysts, the Ravens already have the fourth toughest strength of schedule in the NFL based on their opponents' win to loss ratios. Bear in mind that whenever the Ravens do the unthinkable and don't win, they are facing some of the best-ranked teams in the NFL!

Are there any major changes on the Ravens team that will affect their performance this year? As always, of course! In the coaching department, head coach Brian Billick was fired after last year's dismal performance and has been replaced with John Harbaugh. He will be the third head coach in this team's relatively young history. (The Ravens were first established in 1996) John Harbaugh's previous experience was the defensive secondary coach for the Philadelphia Eagles. He will be heading the Ravens until at least the end of the 2012 season, as he has signed a four-year contract.

In the previous season, the team didn't actually have an offensive coordinator, since Coach Billick took over those duties after firing Jim Fassel. John Harbaugh hasn't dropped the ball yet-he went out and hired former head coach of the Miami Dolphins Malcolm 'Cam' Cameron. Rex Ryan was released from duty as the team's defensive coordinator but later rehired on January 28, 2008 and then promoted to Assistant Head Coach. Now that's an apology!

What about the season in terms of players? The team has acquired linebacker Brendan Ayanbadejo from the Chicago Bears as well as cornerback Frank Walker from the Green Bay Packers. On the other hand, the team lost center Mike Flynn after he failed his annual physical. Unfortunately, Flynn was one of the few original players to see the Ravens' Super Bowl championship season in the year 2000. The team also lost veteran quarterback Steve McNair. After suffering several injuries and spending most of the previous season on injured reserve, McNair announced his retirement from the NFL after 13 great seasons. The only thing left to consider is the 2008 NFL Draft. The most notable selection of the draft was cornerback Fabian Washington.

Will the Baltimore Ravens find success in 2008? A 2009 Super Bowl isn't out of the question for this team. After all, the team won their first championship victory in only the fifth year of playing football! The team will be facing one of the toughest schedules in the entire league and certainly has their work cut out for them. However, Coach Harbaugh has confidence in the Baltimore spirit.

PowerPoint Tips

1. Talk to your audience, not the screen. Trust the image behind you. Look at the laptop screen in front of you, if you have to.

2. Stand centre stage and put the screen off to the side.

3. Place the screen at a slight angle on the left side of the room or stage (and to your right). Adult learning research shows that people use the left-brain to process data, so put PowerPoint words, statistics, and graphs on the audience's left.

4. Learn to command your equipment. When in 'slideshow', the B key toggles to a blank screen (or W for white) when visuals aren't required

5. A number followed by ENTER takes you to that slide. Keep a clearly numbered paper copy (6 slides per page) of your presentation so you can be flexible

8. Put only enough data on each slide to jog your memory. The content should be in your head, not on the slides. Keep it simple.

9. If you have a busy set of slides which you have to use, then create an executive summary set to use whilst presenting and keep the busy set as handouts.

11. Use a wireless remote to give you freedom of movement. Buy the smallest you can and learn to keep it in the centre of your palm so as not to fiddle with it. Alternatively put it in your back pocket when not using.

13. If you just have to use a busy slide set then use TTT (touch, turn, talk) to isolate the section you want and maybe adapt a new slide which just shows that section blown up. This way you audience knows that the slide with the detail is still there as a handout.

14. Have each bullet point slide onto the screen one at a time so people can read it quickly and give their attention back to you as you explain it.

15. Summarize charts and graphs that are difficult to understand

16. Don't clutter the slide - use two slides instead.

17. Use white or yellow letters on a dark background for good contrast. Dark blue is attractive and colourful at the same time.

18. The letters should be no smaller than a 26-point, sans serif font.

19. Use the 1:6:6 rule. One subject, no more than six lines with no more than 6 words per line

20. Don't use canned clipart that everyone has seen. Use different clipart collections. Better still use photos and mini movies for added interest. But don't clutter the slides with your technical brilliance.

21. If a slide doesn't add value to your message, don't use it.

I purchased a copy of Microsoft Office 2007 from a 3rd party seller and found it wasn't even an authentic copy of Microsoft Office. I started getting pop up messages from Microsoft that I might not have an authentic version. Upon further investigation, I was able to verify it was indeed not an authentic version. When I contacted the seller and asked if he knew why I would have this problem, he asked no questions, but wanted me to contact him privately. Instead I contacted Amazon who gave me a complete refund after an investigation of their own. Shame on you Kazootie 123 and thank you Amazon.

PowerPoint Tip - Protect a PowerPoint File From Changes

Many people need to protect PowerPoint files from changes. There are many reasons for this:

* To send presentations for review only (but not editing)
* To maintain ownership of the creative content
* For legal reasons (for example, if the content has been approved by legal and financial counsel and may not be changed)
* To provide presentations for others to deliver but not modify

You can choose from a number of techniques, depending on your situation. Sometimes, you need to maintain animation for example; other times, you just need static slides. Here are some methods you can use.

A. Convert to images

If you don't have animation, you can convert the entire presentation to images, so that each slide contains an image of the original slide. Of course, people could still remove slides or images, but this method is easy and is often used for review and maintaining creative ownership. It also allows you to protect some slides and not others. This is useful if you want to allow people to change some of the slides. Follow these steps:

1. Choose File> Save As. (In 2007, Office button> Save As.)

2. In the Save As dialog box, click the Save as Type drop-down box and choose the JPG or PNG option. You can change the file name if you want or keep the default name.

3. Click Save.

4. At the dialog box asking if you want to export every slide or the current slide, click Every Slide.

5. Click OK at the dialog box that tells you were the image files were saved. PowerPoint creates a subfolder for them.

6. Create a new presentation. You now need to insert the images, and there's a shortcut, the Photo Album feature. Choose Insert> Picture> New Photo Album. (In 2007, choose Insert tab> Illustrations group> Photo Album drop-down arrow> New Photo Album.)

7. In the Photo Album dialog box, click the File/Disk button. Choose the images you created earlier and click Open. (You can press Shift and click the first, then the last image you saved earlier to select them all.)

8. You'll return to the Photo Album dialog box. In the Album Layout section, choose the Picture Layout you want. Usually, you'll choose Fit to Slide or 1 Picture. Click Create.

9. PowerPoint inserts one image on each slide and creates a title slide, which you can then delete. Save the presentation.

B. Convert to PDF

Another commonly-used method is to convert the presentation to PDF format. You lose all animation, but people can't change any of the slides, or even delete any. Some options:

* Adobe Acrobat
* A free PDF creator (such as PDF995 or PrimoPDF)
* Prep4PDF
* An add-in from Microsoft (for PowerPoint 2007 only). If you use the add-in, you can then choose Office button> Save As> PDF or XPS

C. Convert to SWF, AVI, or another movie format

Converting to SWF creates an SWF movie file of your presentation. This method saves your animation, although the accuracy depends on the tool you use. You can use this method to post your presentation on your Web site or YouTube, especially if you include narration. SWF is an excellent choice for many marketing projects. Some options:

iSpring Free, the best free tool that I know of, converts to SWF

Video capture, including TechSmith's Camtasia, SnagIt (in video capture mode), and Jing (which is free for presentations less than 5 minutes). These tools convert to AVI, SWF, or other formats. There's a free open source option, CamStudio.

D. Password protect for editing

PowerPoint 2007 allows you to add a password that allows people to open, but not edit, a presentation. If you have 2007, this is a great way to allow some people to edit the file, but not others. But note the "gottcha" and the workaround at the end of this section.

Click the Office button> Save As. In the Save As dialog box, choose Tools> General Options.

In the General Options dialog box, enter a password in the Password to Modify text box. Be sure to write this down! Click OK. You'll need to re-enter the password. Then go ahead and save the file.

When you or others re-open this file, a dialog box appears asking for the password.

The problem with this method is that if people open the 2007 file in PowerPoint 2003 (which can be done with a free download from Microsoft), the file is no longer protected. However, funnily enough, if you save the 2007 file in 97-2003 format (in the Save As dialog box), you can't edit the file, even in 2003. This workaround may be just what you need. Of course, some features of 2007 don't work in 2003, which may be a problem if you want to give some people the right to edit the file.

PowerPoint 2007 lets you add a digital signature to a file. A digital signature doesn't prevent changes but lets you know if someone has changed the file, because the process of changing the file invalidates the digital signature. You need to purchase a digital signature service. Start by choosing Office button> Prepare> Add a Digital Signature. When you have such a service, a new item, View Digital Signatures appears on the Prepare menu.

E. Mark as Final

If you have 2007 and don't need to securely prevent changes, but just want to let people know that a presentation shouldn't be changed, you can use the Mark as Final feature. Choose Office button> Prepare> Mark as Final. This turns off all typing, ,editing, and proffing commands. However, someone can go back to the same menu item and turn off the setting, so use this feature when absolute security isn't necessary.

Access Tip - Create A User Defined Filter Or Search Form

Many times it is necessary to provide your users with an easy way to filter or search for data in large table of information. This tip will show you one quick and easy way to solve the problem by giving the user a field to enter a search string and updating the form with those fields that fit the search pattern. It's quick and easy, so give it a try.

For this example I used a table of keywords and how often they were found on the internet in the last month. You can use any table you want, just make sure you adjust the code to reflect the right fields in the SQL string. So, if in this example I wanted to know how many times "Access" was used in a search string I can enter Access in the search field and the form shows me all the search strings containing the field "access" and then totals it for me.

Preparation

Create a table named "keywords" with these fields and settings: kwid - autonumber kwcount - number kword - text

Note: you can use any field names you wish, just adjust the code below accordingly.

1. Create a new form using the "keywords" table as the data source.

2. Put all the fields from the table on the form.

3. Arrange them all in a line and add a form detail and set the form type to continuous. I like to put the field headers above the fields in the form header section and place the fields in the detail section.

4. Next create an unbound text box and name it "srch" by adding a text field with no data source.

5. Define the after update event so that after your user enters a string in the srch field the form redisplays with those records that have that string in it.

Access Application Idea: License Compliance solved with Access Database

This customer has to track as many as fifteen different medical licenses and credential verifications for over 3000 employees in the home health care field. They can not have an employee attend to a patient that does not have the correct licenses and credentials due to safety regulations enforced by the state. These licenses all have to be renewed and they have different periods and start dates. The only way that they are able to enforce the license renewals is through payroll. Another words, get your licenses renewals up to date or we can no longer send you to our patients. With payroll weekly, this became a huge problem just tracking the expiration dates and sending out notifications so that they would not loose good employees. This process previously required an average of twenty man hours per week to complete and due to the rush often had mistakes allowing unlicensed and or uncredentialed care givers visit patients. Our customer could have been censored or even lost their license over a violation like this, so they had to have a better way of tracking compliance.

Solution An automated human resources license tracking tool built with MS Access that checks license renewal dates for all licenses and credentials that every care giver employee is required to have in order to see patients. The tool polls the employee data each payroll and checks the renewal dates for all licenses listed in the employee user profile and generates a letter that goes to the employee designating which licenses are nearing renewal dates and or are expired. The system also flags all employees with expired licenses and prevents them from being scheduled for patient care for the specific license if needed.

Benefits The license tracking process now requires only a few minutes per week to complete. The company has virtually eliminated problems with license compliance. Employees license compliance has gone to near 100% and those employees that don't have licenses are no longer sent to the wrong patients.
