Effective Usage of Power Point Presentation

Why we are opting for Power Point presentation often? It's an effective way of communicating, teaching, and learning. Anything which conveyed through pictures will capture all our minds quickly and reside inside easily. Isn't it? o First of all selection of background; This is called templates and that should be relevant to the topic or else at least colour of the background should be pleasing.

o Next is foreground option. This should match with background. For example some background with green colour font will be visible while you are creating the presentation, but during the show, the audience in the 5th row inwards can not view the contents. So the background and foreground should be contrast in color. Moreover it should not irritate audience eyes.

o For some text instead of underlining you can go for italic or bold, that make your presentation a neat one.

o Avoid much header and footers. That don't use more content in master slides.

o A general statement is that for PPTs the rule 7×6 , i.e. 7 slides per presentation which is for one to one and half hours and 6 lines per slide. This rule is to avoid more information in single slide.

o The important and interesting feature is animations. The audience will enjoy the content if it is with text and picture animations. Because of the picture animations audience can easily remember the contents. But these should not be more also.

o You should avoid animations which has more time slice. Animations and text should coincide both in timings and relevancy. Any animation should not take more time to start, exists and exit.

o Even simply you can have picture only to explain content, which will give a great effect to the presentation.

o Don't always use monotonous text sequence. If you are going to explain different terms, scatter the terms here and there, so that audience will sit straight after the usual show.

o Audio can be used wherever necessary. But it should not disturb your speech.

o It is better to add query slide at the end of the show, which will give a feedback about the session from the audience.

United States and the Developed Economies

Recall, I envisaged a "W" recovery for our economy in my January article, 2010 Global Economic Outlook. My friends, it appears this will unfortunately continue to be the case as we look ahead to 2011. Amid short term government stimulus plans and intermittent spikes in consumer spending so far this year, it does not appear that anything we've done has actually addressed the root of our economic woes. What we've in effect done was place several band aids on a wound that requires stitches. The bleeding was slowed temporarily but will not stop unless properly cauterized. Nothing has been implemented to stop the bleeding. The band aids will eventually come off later this year reopening the doors to a fresh flow recession dip toward the end of Q1 2011.

For the United States, the following indicators reinforce the need to continue precaution as you forge your roads ahead for 2011. Personal income has not improved at all and has remained flat for the past 18 months. Unemployment remains high with a real figure closer to 10.6% nationally. In April, car sales lagged behind their usual average by 35%. Traditionally, car sales touched $17 Million in sales in April. This year car dealerships collectively reported sales of only $11.2 M. Consumer spending did increase, however this is a superficial, artificial and temporary indicator as the spending was the result of short term government stimulus programs that are nearing their end later this year and early next year. Several economists are optimistically projecting a 3% GDP growth for us by the close of 2010 but I don't see how this is possible. I have witnessed nothing over the course of this year to support a growth of this size. Considering small and medium businesses still do not have access to liquidity or leveraged capital, nor has anything stimulated the revitalization of this economic segment it is nearly impossible to exceed a 2% growth in GDP for the U.S. by end of Q4 2010 unless we consider government expansion in the equation. I anticipate the real figure to be somewhere around 1.5% growth, and that is if we are lucky. Furthermore, tightening policy in the face of rising EM inflation puts a double-dip scenario back into play. Asset bubbles may also be forming, as extremely loose monetary policy in the developed states pushes foreign cash that seeks higher yielding returns over to emerging markets. Consequently, I anticipate our double dip recovery to actually begin toward the end of Q1 2011 and remain generally wary of the 2011 outlook, as stimulus packages and monetary aid packages unwind making the basis for a "V" recovery prediction appear less favorable than many anticipated earlier this year.

The developed world as a whole will see an aggregate growth of 1.5%. Eurozone growth specifically will reach.6% in 2010 and 1.7% in 2011. Slow growth and recovery in the Eurozone can be attributed to the uncertainty over the fiscal health of Greece, Spain and Portugal. Conversely, emerging Europe will enjoy an aggregate growth of 3% this year and 4.2% in 2011.

2010 Looking Rosier for Emerging Markets

Emerging markets should outperform developed states with aggregate growth of 4.8% in 2010, compared with 1.5% in developed states. If anything, the risks for the emerging markets for the 2010 forecasts lie on the upside, depending on the base effects generated by potentially strong H209 GDP figures. Emerging markets have proven that they are not only innovative and resilient but highly competitive in the global arena as well. Many of the main emerging market players are going global themselves. The UN world investment report calculates that there are now around 21,500 multinationals based in the emerging world. Additionally, these companies are expected to contribute 70% of the world's growth over the next few years with China and India being the primary drivers. The number of companies from Brazil, India, China or Russia (BRICs) has more than quadrupled since 2006. Still I expect Indonesia to outpace Russia in overall growth this year and next year to potentially take Russia's place among the BRIC nations.

Emerging Asia is projected to grow by 6.9% in 2010, which is up from 6.7% last month. Our China outlook is the driver in this forecast, as we see the country's economy expanding by 8.8% in 2010, on par with my 8% prediction in 2010 Global Economic Outlook, and 7.5% in 2011 on the back of considerable government stimulus. For the region as a whole, we will see a slowdown to 6.4% in 2011 (down slightly from 6.5% previously) before growth picks up again in 2012 and beyond. China is also in danger of a double-dip "W" recovery.

In Latin America, we can expect an aggregate growth projection of 2.8% for 2010 with the most significant performance in the region coming from Brazil, which we can anticipate to grow at 5.0% this year and dip to 4.6% in 2011 in response to a U.S. "W" recovery while aggregate growth in Latin America respectively will dip to 2% growth in response to a strain in U.S.-Mexico trade relations. The global emerging markets are not without risk however. The biggest risk to the emerging markets is their strength to withstand the likely torrent of capital inflows that will occur over the coming years, which could easily lead to an asset price bubble at some point and repeat another Iceland or a Japan of 20 years ago.

Russian Economic Growth For 2010

An article posted in the Moscow Times is suggesting that bankers and bureaucrats are offering a disappointing outlook for 2010. Based on the Economic Development Ministry projections, the Russian economy could grow between 1.3 and 3.5% during 2010 (assuming the oil price remains above US $58).

"The Economic Development Ministry last week updated the three scenarios for its 2010 economic forecast, with pessimistic growth of 1.3 percent, a baseline scenario of 3.1 percent and possible growth of 3.5 percent if oil prices continue to stay above the $58 per barrel forecast used to calculate the 2010 budget."

While many believe these projections to be pessimistic, and certainly we don't want to ruin your holiday mood, the overall consensus among people in the business community was that 2010 will include slow but stable economic growth. And even the Russian President has a more opportunistic forecast for the Russian economy in 2010:

"And while the Economic Development Ministry may have submitted its best guesses, that hasn't stopped senior policy makers from offering their macro forecasts for 2010. A number of top officials, most recently President Dmitry Medvedev, have said the economy could grow 5 percent next year - although virtually all have attributed the figure to experts."

This is a typical question of whether the glass is half full or half empty. If to compare economic growth in 2009, this year should be a welcome return to stability and growth for Russia. Although expectations are low, expectations around the world are low and Russia is one of the first countries to climb out of recession.
So, as we go forward in the New Year we want to offer a glimmer of hope, a light at the end of the tunnel, and a road to economic growth and stability that is clearly seen by all.

A tip for this year will be to carefully watch the global oil prices and demand for energy around the world. If demand is growing, along with the oil price, we can expect the Russian economy to start gaining momentum and exceed the low predictions of government officials. As oil goes, Russia goes.

How to Restore Deleted Items in Outlook the Easy Way

If you are the kind of person who likes to keep his/her computer tidy at all times, you are also taking care of deleting useless documents from Outlook. However, you could erase some important documents by mistake, so you need to know some simple techniques on how to restore deleted items in Outlook.

If you only hit delete on an email, it will go to the Deleted Items folder by default. This is just like any other folder and if you want to restore deleted items in Outlook, you will simply need to restore that email and it will be back in your inbox. However, if you delete it from that folder as well, you will need to go to the Windows Outlook Registry to recover a certain item.

This is how to do it. Start Regedit32.exe from the Windows directory. Find "HKEY_LOCAL_MACHINESOFTWAREMicrosoftExchangeClientOptions" and click on edit. Set the Dumpster always to on and close the registry editor. Orca is recommended to edit the registry but you could use other software of this kind if you are comfortable with them.

The next step is to open Microsoft Outlook again. You will see a new option called Recover Deleted Items and you can use it to restore deleted items in Outlook. However, even this method is risky, as some of the emails can't be recovered at all.

The above method are commonly used to recover accidentally deleted mails. Things are a little more complicated if we are talking about contacts, settings or other Outlook items. In this case, you will need specialized third party software to restore those deleted items in outlook. The main advantage of this method is that you can recover almost every file that was deleted or modified in the past six months. Take your time as complete scanning could be an hour or more. The program will generate a list of those erased files and you could restore deleted items in Outlook immediately.

The last method to restore deleted emails and items in Outlook is to use system restoration points. However, this method will affect all the files on your computer so you might think twice about using this option.

Fixing Error 0x80040116 in Microsoft Outlook

If there is one particularly frustrating error in Microsoft Outlook, then it has to be error 0x80040116. Just picture this, for instance: that you are talking a client of yours on the phone. At some point you talk about meeting face to face (or through a video conference), and you tell him or her to hold for a second as you check your calendar - on Outlook, for a slot on which you can put the meeting or video conference. Then you start your Outlook program (in order to access the calendar), only for it to fail to take off, even after several frantic trials - all the while with your client waiting on the line. You decide to cut your loses, tell the client that you will have to call later with a slot for the meeting, and upon checking what was causing your Outlook not to start, you learn that the culprit is error 0x80040116.

What was described above is of course just one of the situations where Microsoft Outlook Error 0x80040116 can let you down. Other instances where error 0x80040116 can let you down, besides when attempting to start your Outlook, is when you try to open a .PST file - only for it to fail to open, returning the said error every time you try to open it. Incidentally, as long as you are using your Microsoft Outlook software, chances are that you are bound to find yourself needing to open one or another .PST file - since the working of the whole Outlook program is dependant on the said PST files - meaning that if your copy of Outlook has developed error 0x80040116, you should be ready for a lot of frustration. It is, after all, in these .PST files that Outlook stores pretty most of all its data, from your contacts that you store in it, to past emails (both those that you send and those that you received) which it archives, as well as the calendar entries that you make in it.

Thankfully though, error 0x80040116 can be quite easily fixed. The first step to fixing error 0x80040116 is appreciating what it is that causes the error: namely the corruption of the .PST index, which is the reference file which tells Outlook 'what to find where.' When this index file is corrupted for whatever reasons, Outlook prefers not to initialize itself or open any .PST files - and this is what causes the kind of frustrating situation we started our discussion with.

Now there are two basic approaches to fixing error 0x80040116. One of these is simply un-installing your whole Outlook program, and reinstalling it - and thence doing away with the corruption in the .PST index file. Microsoft Office 2010 is the Newest Release From Microsoft

The release of the new Microsoft Office suite isn't the most exciting thing in the world, the fact that it is used nearly every day on my work computer doesn't help matters. Nevertheless, I thought it would be good to compare it to the older versions to see how it stands up against them.

A free trial version has been made available for users to download until the final version is released. The beta test version will run unhindered until October 2010 at which point users must decide whether they wish to purchase the final release or have it removed from their hard drive.

For the sole reason that it costs money to buy, the majority of users may still be better off with the free OpenOffice Suite (www.openoffice.org)as it still includes all of the features needed but at no cost. This having been said, the Office Suite has remained a popular flagship product over the years due to business users often requiring a specific function or application only present in the Microsoft offering. I, for example, use Outlook on a regular basis and haven't yet found an alternative that suits my needs.

Having not been the biggest fan of Office 2007 (especially the 'ribbon' interface discussed in the past) I wasted no time downloading the 64-bit professional version of the beta to put it through its paces. I have now been using it for a couple of days it does appear notably faster than Office 2007 and certainty incredibly stable. The speed increase could easily be attributed to the fact that a 64-bit version of the application is now available to run on modern 64-bit computers.

Office Professional 2010 includes Word, Excel, PowerPoint, InfoPath, OneNote, Outlook, Access and Publisher. A home edition is also available for free trial download that includes PowerPoint, Outlook, Excel, OneNote and Word. It is likely that computer manufacturers will bundle new machines with a starter edition once the final version has been released. This will include just Excel and Word; this version of Office will replace the aging Microsoft Works Suite.

It is certainly a lot clearer than that the interface of Office 2007, even though the ribbon effect is still included; it is a far more simple application to navigate, the familiar file menu is back, there are fewer fancy borders and colours and it is also customisable to the users individual tastes. The applications look and behave like a 'family' now and have become more intuitive to use as a result of the more refined user interface.

An important new feature due for release in the final version but missing from the beta is the 'Web Apps' which will extend the Office functionality to a compatible web browser. It is very similar to Google Docs, an application that allows users to share, edit and collaborate Office documents online. This is an incredibly important new feature that has no doubt come about due to the success of Google Docs and one that I would like to field test when complete.

This article isn't long enough to go in to details about minor new features so I will summarise by observing that the changes made from Office 2007 to Office 2010 are evolutionary rather than revolutionary; just as Windows 7 was an evolutionary change compared with Windows Vista. Excluding the Web Apps there is nothing substantially new however the minor improvements are certainly welcome as is the chance to road test a new piece of software completely free of charge for a year.

Create Excel Dashboard to Summarize Key Data

When you create an Excel workbook to share information with co-workers, or company management, you can add a dashboard to summarize the data. Excel files can have many sheets full of data, which is too much to absorb by simply reading through it.

A file can contain several years of sales data, or thousands of survey results. Even if you create charts from the data, people might still have trouble wading through the sheets, looking for the specific data and charts that they need.

To make the vast sea of data easier to understand, you can create an Excel dashboard sheet, and include a few key numbers, small charts to summarize the data, and formatting to highlight the positive and negative results.

For example, an Excel dashboard could display key revenue numbers, with a small line chart of the past year's data. At a glance, anyone reading your Excel dashboard can see how things are going, without digging through years of detailed data.

Link to Key Data

To pull key numbers to the Excel dashboard, you can use links. For example, at the top of a worksheet named SalesData, you have a formula that calculates the total amount for the sales in column D. The total is in cell F2, and the formula in that cell is =SUM(D:D)

On the Excel dashboard sheet, you can use an IF formula, to show the sales total, and to make the cell appear empty if there's no total on the SalesData sheet. In this example, the formula in cell D4 on the dashboard worksheet is:

=IF(SalesData!F2="","",SalesData!F2)

Label the Key Data

When you pull key numbers to the Excel dashboard, it's very important to label all the numbers clearly. To create the labels, you can manually type a label in the cell next to a key number. Or, if the source sheet has clear, concise labels, you can use formulas to link to those labels.

Add Simple Charts

The goal of adding an Excel dashboard is to make the data easy to understand. So, when you add charts to the dashboard, keep the charts simple. Show one set of numbers per chart, such as total quarterly sales for the previous four quarters.

Use a simple line chart, with only the key features, and minimal formatting. The ideal charts would each have a single line, with a limited number of labels on each axis. There should be nothing else to distract the reader, to ensure that the message is clear in each chart.

Make the Charts Small

When you make the charts on the Excel dashboard very clear and simple, you can reduce their size. The information will be easy to understand, even though the charts can be reduced to only about an inch wide. With small charts, clearly labeled and titled, you can arrange many charts on the Excel dashboard, without overwhelming the reader.

Highlight the Good News and the Bad News

With conditional formatting, you can use color to highlight numbers on the Excel dashboard that are well below or above average. For example, you could highlight a cell if it contains an amount greater than 5000. To add conditional formatting in Excel 2007:



Select the cell that you want to highlight

On the Ribbon, click the Home tab, then click Conditional Formatting

Click Highlight Cells Rules, then click Greater Than.

This will open a dialog box, where you can set the minimum amount (5000 in this example), and select the formatting that will highlight the cell. You could format the cell with a bright red fill color if it's over the set amount.

Keep It Simple

The most important thing to remember when creating an Excel dashboard is to keep it simple. Select only the most important data to display, and use one or two color to highlight the top and bottom results. Small, simple charts will add visual impact, and help clarify the data.

Keeping unwanted emails in your Outlook mailbox does not make any sense, as it only increases the size of PST file, which may lead to several issues like slow performance of MS Outlook, PST corruption, etc. Therefore, people often used to delete emails that have no importance for them. When emails are deleted from Inbox, they get transferred in to the "Deleted Items" folder from where the user can recover them. Repairing Corrupt DBF File When You Are Unable To Export To MS Outlook 2000

The DBF (Database File) is the background file that stores the data in the dBase databases. This data can be exported to several other applications for different kinds of purposes. For example, you can export a DBF file containing list of contacts and their related details into MS Outlook. However, at times some issues crop up while you are performing the import. Most of them appear due to DBF file corruption. You should try to find out the exact cause of this problem and recover DBF file. If you are unable to do so, then you should use DBF repair software to repair DBF file.

Let us assume a related scenario in which you are trying to import a DBF file in MS Outlook 2000. The DBF import fails and you receive the following error message in the process:

"An error has occurred in the dBase translator while getting the contents of a file system.

The file "\.dbf" was not recognized. The dBase translator was unable to recognize this file. It could be the wrong file, a version of the file type which is not supported by this translator, or the file might be corrupt."

Cause:

One of the causes of this problem is due to the bugs in the current version of MS FoxPro/dBase.

Due to the bugs in the application, Outlook fails to read a value that is greater than 99 years in the DBF 'Last Modified Date' field. Some applications that create DBF reset the numeric value to 0 once it crosses 99 while some continue beyond 99. The definition of the DBF file format is ambiguous enough to allow such confusion. Usually MS Office programs accommodate such bugs by increasing the count beyond 99, but this is not followed by MS FoxPro and dBase.

Resolution:

To resolve this problem, you should perform the following methods:

- Apply hotfix to cover up for the bugs: You should download and install the Microsoft Office 2000 Service Release 1/1a (SR-1/SR-1a) hotfix. This would solve the 'Last Modified Data' field problem.
- Use alternative file format: You should try to import the DBF file in another platform such as CSV (Comma Separated Values), MS Excel (.XLS), MS Access (.MDB), etc.

If the issue is still not resolved, that means the DBF is corrupt. In such cases, you should use a third-party DBF file repair software to repair DBF file. These read-only DBF recovery tools are very safe to use and do not overwrite the existing database file while scanning it.

Using Named Ranges in Microsoft Excel

Generally you use a cell or a cell range to perform calculations in Excel. So if you had a value of an employee salary in cell 'a2', where 'a' defines the column and '2' defines the row, and you had another salary amount in cell 'a3' and so on, you would calculate the sum of the salaries as '=sum (a1:a20) in cell 'a21' where all the cells from'a1' to 'a20' are filled with data of employees salaries. Is there an easier or more intuitive way of doing this? Yes! You could assign the salary data in cells 'a1' to cell 'a20' by selecting all those cells and giving a name in the 'name box', for example, as 'salary'. The 'name' box is the text box next to the formula box (fx) and has a drop down arrow next to it. Another way to assign a name is to select the relevant cells, click on insert and then click on 'Name' and finally 'define...' and you will see a new window pop up. Here you can define the name 'salary' in the text box under 'Names in Workbook'. Below you could also observe in the text box under the heading 'Refers to:' the exact cells to which this name 'salary' is assigned. Also you will notice that you can add more names to other cell ranges. In this window there is an option to delete names you don't wish to use any more.

Now how do you use the name or names to do calculations? Well, you could write in any appropriate cell of your choice '=sum(salary) and the total of the salaries in the referred cells would be displayed. Another interesting example with more details: Let's say you have 3 sheets in your workbook. Right click the first sheet (Sheet1) and from the menu select 'rename' and give the sheet the name 'Income'. Again right-click on the first sheet, select 'Tab Color...' from the menu and assign a color, let's say, blue to the worksheet tab. Do similar actions on worksheet 2 and 3 and rename to 'expenses' and 'profit/loss' respectively. Also assign tab-colors to the worksheets. Now assume that we enter 'income' every month.

So you would have 12 entries for 'income' in 12 different cells , say, 'a2' to 'a13' with cell 'a1' having the header 'INCOME'. Similarly, let's assume we enter the expenses every month in Sheet2 in cells 'a2' to 'a13' with 'EXPENSES' as the header in 'a1'. Note: You can, of course, choose any cells for your data. Now let's name cells ranges a1 to a13 in both worksheets 1 and 2 as 'Income' and 'Expenses' respectively. In the worksheet 3 which was was renamed to 'Profit/Loss' we can now enter a formula '=sum(Income)-sum(Expenses)' in any cell of our choice to calculate the profit or loss! Remember you can make your expense and income sheets as detailed as you like. As long as the cells containing the data are given a name you can perform the profit and loss calculations as usual using the 'named' ranges with an appropriate formula.

You need to figure out the answers to these questions, because if you don't know the answers you cannot properly guide the audience towards your goals.

Write an outline of your presentation
Next you need to write an outline of your presentation and what your talking points will be. At this point, forget about the actual PowerPoint and just focus on what information you want to convey to the audience. Pretend that you will not even have a PowerPoint. What will you say? Break it down to an introduction, body and conclusion. Make sure this outline hits every question and goal stated above when you analyzed your audience.

Use your outline to give your speech
Now that you have an outlined version of your presentation, start practicing your presentation. There is still no PowerPoint involved. Just focus on what you will be saying, what the audience will be hearing, and the key points you need to get across. Take this time to go back and edit the structure, flow and order of your presentation until you are comfortable with it, it meets your time requirements and it moves the audience on a logical flow towards your goals for the presentation. Note: It's always better to present the facts and assumptions and allow the audience to make the connection in their head, as opposed to you directly telling them what they should get from this presentation. Also take this time to remove any "clutter" that does not directly or indirectly lead to your goals.

Put together a PowerPoint to supplement your talking points
Now that you have outlined what you will be saying in your presentation, you can put together a concise, professional PowerPoint the way they were meant to be used-- to supplement the verbal portion of your presentation, not as a standalone presentation. While putting together your PowerPoint, here are some tips to remember:

Don't cram too much information into one slide. The audience should be listening to you, not reading.
If your presentation is constructed properly, you should be spending 2-3 minutes on slides with text. For slides with pictures, you can spend as little as 15 seconds on them, or you can use them as a placeholder or reminder-- but don't stay on any for longer then 3 minutes in order to keep the audience engaged.
Always use PowerPoint to display any compelling graphs, projections or numbers that cannot be emphasized enough verbally.
Simple is better.

The main thing to remember is that the PowerPoint is not giving the presentation-- you are! Put together your speech first, then put together the PowerPoint to help drive your arguments home.

Using the Templates in Visio 2010

There are many, many templates within Visio 2010 and although they are ordered in logical groups, it can be very overwhelming for the new user. Visio can be a useful tool in many different areas of our working life and the templates can help even the novice user get started. When considering the best way to use Visio templates, let us examine some key uses. The templates within Visio do not work in the same way as a template in Word. Because the purpose is the creation of diagrams, the templates are broken down into types of symbols that would go into a particular type of diagram rather than a set document where you personalise set items. For example, selecting the flow diagram will give all the flow diagram symbols which can be clicked and dragged onto the diagram.

As an example, select a new document and go to the 'Maps and Floor Plans' section to present a variety of floor plan template types. In the example of Office Layout, the items are arranged in groups such as Office Equipment which includes the symbols for power points and scanners. The user can easily flick between these groups to find the appropriate symbols. It may be that the average office worker would not consider an office plan as relevant to their own work. After all surely this would be most useful to an office designer or decorator? This is not always the case. When new people join offices, it is often the case that they are presented with many different people and cannot remember all the names. A Visio diagram could be designed to show the office plan along with the locations of all the employees within the team.

Another worthwhile template is the Organizational Chart which also comes in a wizard form. This is a useful tool when considering how you will present your team and company to any new team members or clients. There are many examples when external people may be interested in the set-up of the company or team. This could also be broken down into team members for a particular project. If a client is being briefed on the team members that will be working with them on their project then this kind of diagram will affectively convey the hierarchy. Their contacts will be project managers who will work with the designers, the developers and the testers. The diagram could also include some personal information such as telephone numbers and email addresses. This kind of diagram could be printed out for them for use as a quick reference wall poster.

The Business, Flowchart and General templates cover a range of more general diagrams useful on a day to day basis depending on the type of business you do. There are general flow diagrams and charts which can be useful as part of presentations in any area. Professional looking visual aids are invaluable as a resource for presentations. The Brainstorming diagram would be a clever way to create a neatened up summary following a brainstorming session where lots of ideas were thrown on a white board. In this situation it may be helpful to use this diagram template and then send a copy to all attendees as part of the meeting minutes.

As well as catering for the needs of the basic office user, Visio also has a range of technical templates which contain the industry standard symbols. Creating a well-proportioned, correct diagram can be made simple with no need to cut and paste symbols and text. There is complete freedom to move the required symbols around the page, giving the diagram designer much flexibility. An example of this is the Basic Network Diagram in the Network templates section. This contains the standard symbols for the Server, Switch, Mainframe, PC etc. Using this package means a user can create advanced, technical or basic, professional diagrams with the benefit of user friendly templates.

How OST Files Can Help in Successful Exchange Data Recovery

If an offline folder file or OST file becomes damaged or corrupt, you could hope to recover all the data by creating a new OST file from the original mailbox stored on the Microsoft Exchange Server. Recovering data from an Offline folder file, if an Exchange server becomes corrupted, on the other hand, is fairly challenging. We will look at how one can simplify this process, especially by using third-party tools.

Most Outlook users with email accounts on a Microsoft Exchange Server believe that the data in their accounts are safe as the system administrator usually has a backup and recovery mechanism in place. However, it is not unusual to find that there have been situations wherein the Exchange server has become corrupted or backups have been found to be damaged and the only source to carry out an Exchange recovery has been the offline folder file or OST file. However, trying to recover all the Exchange data from these OST files is not straightforward and it can be fairly challenging to recover all the data in the same structure as they were in the original mailbox. Fortunately, there are now fairly sophisticated tools that allow you to carry out this process very easily.

Advanced Exchange Recovery is a third-party tool that specializes in recovering data from orphaned OST files. When Microsoft Exchange Server becomes corrupted, the mailbox on the server is also lost leaving behind an orphaned OST file. There is almost no way that an orphaned OST file can be accessed easily. Therefore, the first step in carrying out an Exchange recovery is recovering the data from an orphaned OST file.

Advanced Exchange Recovery supports integration with Windows Explorer. You can thus very easily find and select the OST file that you would like to repair. With just a click of the 'Repair' button, you can start the restoration process on a large number of files. This tool works across many formats of Exchange, leaving you with one less thing to worry about. Finally, Advanced Exchange Recovery can recover almost every type of Exchange item including all email messages, appointments and reminders, meeting requests, contacts, task items, notes and so on. In fact, it can even recover attachments and embedded objects along with the items that they are associated with.

It is always difficult to carry out an Exchange Recovery from large OST files because of their size. But, Advanced Exchange Recovery can actually recover data from very large Offline folder files - as large as 16 million TB! To top it all, this tool will save all the recovered items in a personal folder file or PST file that is also compatible across all formats from Outlook 97 to Outlook 2002 and Outlook 2003 to Outlook 2010.

Advanced Exchange Recovery requires that Microsoft Outlook be installed on the computer where the OST files are located and this obviously means that it should not be installed on the Exchange server. Install a copy of Advanced Exchange Recovery on a desktop computer that is not being used as a server, copy as many Offline folder files as you can to this local machine and then run the tool to restore data from the orphaned Offline folder files into PST files. Since Outlook can easily access PST files, you have now ensured that all the data from the original mailbox is now available in Outlook and you can just copy all this data into the new mailboxes on the Exchange Server.
