Business Forecasting With Microsoft Excel

All businesses must plan for the future if they want to stay in business and prosper. Nobody really knows what the future will bring but sitting back and accepting what it may bring without trying to at least prepare for it, will set a course to failure.

Data forecasting enables a business to try and see the shape of things to come by taking past data and predicting future performance. Businesses need to know how much income will be generated and what costs will be involved. Microsoft Excel gives us a number of tools to help us predict the future, for example, we can forecast future trends based on historical data or we could create scenarios of Best Case, Worst Case and 'In The Middle' Case of income and costs and see what effect variables in the business model have on the organisation. We can also use Excel tools to help set our business targets.

There are a number of formula based forecasting tools. The FORECAST function. This function uses mathematical analysis called linear regression, to find relationships between existing data pairs and apply these relationships to extrapolate data where only part of the data exists. For example: if we have 6 years worth of annual sales, we may want to predict sales in year 7 based on the previous 6 years. The syntax of the function is as follows:

= FORECAST(x, known_y's,known_x's)

Where X is the single data point for which you want to predict a Y value. In the above example x=7 for year 7. The known x's are a range (B6:G6) containing 1,2,3,4,5,6 representing the past 6 years. Known_y's is the dependant range of numerical data and in this example is the cell range(B7:G7) containing the 6 historical annual sales. Therefore sales in year 7 can be forecasted by:

=FORECAST(7,B7:G7,B6:G6)

The TREND function works in a similar way to FORECAST but instead of calculating a single Y value as above, it will extrapolate multiple Y values by calculating a linear trend (a best-fit straight line) using an array formula.
Expanding on the above example, we wish to calculate sales for years 7 -12 based on the sales of years 1 -6. The syntax of the function is as follows:

=TREND(known_y's,known_x's,new_x's)

Known Y's & Known X's are similar to the FORECAST function above. The additional argument of new X's are a cell range (H6:M6) with new X values for which you want TREND to calculate corresponding y-values (in this example 7,8,9,10,11,12). Because we will be using an array formula, all the cell for the predicted sales (H7:M7) should be selected and the following formula entered:

=TREND(B7:G7,B6:G6,H6:M6)

As this is an array formula, pressing CTRL SHIFT ENTER.
The GROWTH function will perform an exponential (a curved line that rises or falls at increasingly higher rates) growth calculation also to extrapolate multiple Y values.
The syntax is similar to the TREND Function:

=GROWTH(known_y's,known_x's,new_x's)

Business forecasting is a tricky affair. However, using historical data and the tools above will give businesses some insight to what might lie ahead.

Introduction to Outlook 2007 - Design and Use Electronic Business Cards

The exchange of business cards is a time-honored ritual in the world of business. Microsoft chose to honor that common practice by adding electronic business cards to Outlook 2007. This brings them in line with most other modern email and contact management products.. These cards, created using the industry standard vCard (.vcf) format, not only look good on the screen, but can be exchanged easily with most any other modern email or contact management program.

That said, please be aware that while Outlook makes it easy to work with electronic business cards, designing quality cards is a whole different story, and the province of the corporate marketing folks. This puts the art of designing quality electronic business cards outside the scope of this article. So we'll talk only about how you create and use electronic business cards. It's up to you, in compliance with corporate policy, to come up with a design you are proud of.

How to Create an Electronic Business Card

Whenever you create a contact, Outlook automatically creates a very basic electronic business card to go with it. These cards are nothing more than lists of the basic information you entered for that contact, such as their name and address, along with whatever picture, if any, you have assigned to that contact. The procedure that follows is a very basic set of instructions for creating fancier cards to that replace these basic default cards.

To design a better electronic business card for any given contact, follow this procedure:


Open the contact you're going to design a new card for. The current electronic business card for this contact appears on the right side of the contact window.
Right-click the current version of the card, then click Edit Business Card. This opens the Edit Business Card dialog box.
You'll see numerous options and controls for editing the business card. Microsoft really made our lives easier here. They've included an image of the contact's card that changes as you make changes to the controls in this dialog box. That means you can see the results of each change right away. That also means you can undo changes you don't like and allows you to freely experiment with all the design options.
Once you have selected and formatted the fields you want to appear on the card, move over to the top of the Card Design section and work your way down. Experiment with the settings to find a design you like, or follow the directions from corporate to give your card the approved look. To include an image other than the photo associated with the contact, click the Image button and insert it. Click Background to apply a background color to the card.
Repeat steps 3 and 4 as many times as necessary to get a design you like. Click OK when you're done designing.

Using Your Own Electronic Business Card

Your new business card design will now be visible in Business Card view and whenever you attach it to a message you're working on. To attach the card to a message you're writing, first position the cursor in the message at the location where you want the business card to appear. Then click Insert Business Card in the Include section of the ribbon while you're editing the message. The card appears in the body of the message at the location specified by the cursor. The card is also attached to the message in .VCF format so the recipient can easily save it.

The installation went flawlessly. I opted not to install Business Contact Manager.

The Outlook itself is quite complex and useful for managing your workflow in a busy environment. If you need a tool to just manage your personal email, there are, probably, less heavy tools.

In 2007 edition Microsoft added a ribbon on the title bar of the message viewer. This ribbon is a customizable bar with buttons. One change that I didn't like comparing to 2003 edition is that in order to edit a saved message instead of simply selecting "Edit" in a drop-down menu, one has to either find "Revise Contents" or add it as a button to the ribbon. The whole indivudla message window interface is brought in line with all Microsoft Office 2007 look, but the Outlook's main window still looks like 2003 with some changes in the menus.

I don't like the changes to the Search functions interface. Now to search a folder for a message with a keyword you have to navigate to Tools>Instant Search>Advanced Find -- right-clicking on a folder in the Mail Folders' pane won't is not possible any more since there is no option for searching in the Folder rclick pop-up menu.

One can go to Tools>Instant Search>Search Options and set "All Folders" in the "Instant Search Pane" area and hope that every time you start a search it would go through all folders. Nope! If you don't check "Search Subfolders" after pressing "Browse..." button in the Advanced Find, the search will NOT go into the subfolders. This means that either this feature doesn't work or the interface is confusing...

I definitely don't like the hard-shell plastic packaging: it take a lot of space, hard to see where it's sealed, and opening it was a challenge.

Whether delivering live presentations using webinar technology such as WebEx or Citrix, or recording them with tools like Brainshark or Macromedia Breeze, a good script is not only critical to an effective presentation, it is the foundation.

Why, then, do we spend most our time dreaming up fancy visuals?

It's easier. It's more fun. And a mistake. The element more likely to make or break your success is the script itself-your choice of words, the sequence of arguments, how you make your message stick.

Visuals are important, indeed. But the script even more so. In fact, some of the most persuasive presenters-in person-use no visuals at all. They know that PowerPoint can be PowerPoint-less. When delivering online, however, they follow this secret: The ratio of time invested on scriptwriting versus visuals should be at least 3:1.

Scriptwriting may look easy, but, like any craft, it's a specialized skill that can take years to perfect. This 7-step scriptwriting process will shorten your learning curve and help you close that deal or promotion you so well deserve.

Step 1: Set Clear Objectives.
Is it to inform, educate, persuade, or motivate? Talk to 3-5 viewers directly and ask them what they need. The more explicitly your script addresses those needs, the better it will be received. Nothing kills a good presentation like extraneous information.

Step 2: Analyze the Audience.
Who are they? What is their experience with the subject? Do they know a little bit? A lot? Nothing? Find their sweet spot. Get too technical and you'll lose them. Too basic and they'll be bored. Remember, every audience member is always wondering, WIIFM - What's in it for me?

Step 3: Brainstorm Content.
Old fashioned yellows pad and white boards work best. Electronic brainstorming tools may suit you as well. Using index cards and sticky notes this early allows your logical left brain to bleed into the process, which can slow the flow of ideas. Save those for step 4. Let your mind work freeform.

Step 4: Create an Outline.
Next, identify your best ideas. Add some, delete some. Consolidate into main points and sub-points. This is where index cards and sticky notes come in handy. Spread them out on your desk. Put them in a compelling sequence. A brilliant decorator friend once told me his secret to success: "Move the furniture around until it looks good." Do the same with your ideas.

Step 5: Write a Sloppy Copy.
Turn off your editor. Open the spigot. Write fast. Don't stop to edit and second-guess yourself or your best ideas may never come. I recommend writing in Word first and pasting into PowerPoint (notes section) later, after the script is finished.

Step 6: Edit, Edit, Edit
Richard North Patterson said, "Writing is rewriting." Review your sloppy copy. Keep the good parts. Delete the rest. Then expand, shape and clarify. Refine. Say things in the fewest words possible. William Zinser, author of the bestselling book, On Writing Well, said, "Writing improves in direct ratio to the number of things we can keep out of it."

Step 7: Polish
The best way to polish is to first test it on your audience. Deliver it as if it were the final performance and get their candid feedback. Writers often find that entire sections can be deleted. Remember, with every word you cut, your impact increases exponentially. Hold off on writing your intro and summary until the very end, as it's impossible-and frustrating-trying to write those when you haven't yet figured out what you're going to say.
