Schedule a Meeting Using Outlook

Meetings involve two or more people and sometimes resources. A resource may be a conference room, VCR, slide projector, laptop computer, or any other equipment. Using Outlook, you may send a meeting invitation to anyone you designate, they will then have the option of either accepting or rejecting the invitation, and they can even propose a new time for the meeting.

To create a meeting in a certain block of time, click the calendar icon on the navigation pane, then highlight a certain time for the meeting to take place. Now choose new meeting request from the actions menu, and click to. Select anybody you wish to attend the meeting, and choose any resources that will be included, or you can type the addresses manually, click ok when you are finished with this. Now you need to type descriptions for the meeting in both the subject box and the location box, once you have finished this, simply add notes, directions or any comments needed for the meeting. Click send and you have finished, anybody you selected will receive this invitation to attend the meeting.

You can also specify a meeting date and time for your meeting to take place manually. First, create a new meeting, and then add any attendees, subjects and a location for it to take place. Now click the down arrow in the start time date field, and select the starting date. Now click the down arrow again and select a starting time for the meeting to take place. Finally, click the down arrow another time, and select the ending time, click send, and you are finished.

To conclude, scheduling a meeting using outlook is simple. Within a few minutes you can invite a number of different people to attend it. Using outlook to schedule your meeting is much more convenient than most methods and therefore should be considered when setting up a meeting.
