To some people, PowerPoint advanced training means using animations and music. To other people it means learning to give presentations that don't put your audience to sleep. Pecha Kucha is a PowerPoint advanced technique that is becoming popular in business circles as a way to give short but powerful talks.

The Problem: Death by PowerPoint
We've all had the experience of being slowly tortured by a terrible speaker. It might be the dull monotone that slowly kills our brain cells. Maybe a cliched phrase is repeated so often that is becomes all we hear. The presenter might have a nervous mannerism like playing with his keys or nervously pacing until the audience is worn out from watching.

Too many presenters think that PowerPoint advanced training is the answer, but PowerPoint is only a tool. The Solution: Pecha Kucha
The term "Pecha Kucha" is a Japanese term that roughly translates to "chit chat". Technically it should be pronounced "peh-CHAK-cha" (the u is effectively silent) but most Americans have a hard time with that and say "PEH-cha-KU-cha". Whatever the pronunciation, it is a presentation method that forces speakers to be concise and distil their message down to its core.

The Pecha Kucha format allows speakers to use only 20 PowerPoint slides and each is shown for 20 seconds. This means the presenter has 6 minutes and 40 seconds to get the message across and that means no time for rambling or irrelevant anecdotes. The audience finds it easier to stay focused and retention is much higher.

Many organizations arrange regular Pecha Kucha Nights where several speakers present information in this format.

Fluency With Slide Transition in PowerPoint

If we regard PowerPoint 2007 as the vehicle to deliver a professional presentation, then Transition is the driving technique that makes the journey more fluent.

While Custom Animation is the tool that allows you to alter the display of words and images in each slide, slide Transition relates to how your presentation moves from one slide to another. With PowerPoint 2007 not only is it easy to adjust text and objects so that they can fly across the screen or open through a dissolve, but it is equally straightforward to use slide Transition to add similar effects to slide movement in a presentation.

There are several things relating to the movement of the slide and any sound and speed, to keep in mind when using Transition in your PowerPoint slide show. But working with slide Transitions is much easier than you probably imagine. On the Animations tab, in the Transitions to This Slide group, you will find the Effects, Sound and Speed. With a few clicks, you can add interesting transition effects to the slides in your presentation. Choose from an array which includes fades and dissolves, wipes, and stripes and bars. PowerPoint 2007 allows you to add a transition to one or more slides, set the transition speed, add sounds and also remove the effects.

By scrolling over the effect, you will obtain a preview of the style applied to the slide. When you select an effect, an animation icon will appear on the slide thumbnail of your PowerPoint presentation. To add to each slide - click the Apply To All function. Or select the No Transition effect to make blank and to delete effects.

It's easy to apply the same style to multiple or single slides, or remove transitions. If you understand that slide transitions are the animation-like effects that occur in slide show view when you move from one slide to the next during an on-screen presentation, you will remember that dealing with the effects of objects on the slide requires a different set of commands.

Transition speed is easy to apply and you can choose from Slow, Medium or Fast. You can also decide if you want to apply a transition to a single slide or all of the slides. To add a sound effect to your slide transition sequence, again in the Animations tab, in the Transitions to This Slide group, simply select Transition Sound. To add a sound not included on the list, select Other Sound, locate the sound file that you want to add and then click OK. You will notice that there are other options including to have No Sound, Stop Previous Sound or to Loop until Next Sound. Sound or music files can be saved on your computer in many formats that can be used in PowerPoint 2007, such as MP3 or WAV files.

Obviously it's easier to think about how you are going to apply Transition when you have completed your presentation and all the words and images are in place. If you are making a formal presentation, it is advisable to use the same transitions relating to effects, sound and speed throughout for consistency.

However, the advantage of taking time to edit the Transition attributes on your presentation means that you can alter the transition noise and speed and effect without changing any of the images or text within each slide. You could, therefore, create a presentation for a specific audience's requirements and alter only the sounds and effects of the Transition for another group.

And remember, just like Custom Animation on each slide, a little goes a long way - use subtle effects when required and choose when to make a big impression on an audience. A steady, even journey is best for your board room presentation on this quarter's sales figures, but feel free to add little more pizzazz for Year 2's photo journal of their trip to Terror Towers.

Most people start making a PowerPoint presentation by opening PowerPoint, but a better way to make a presentation may involve some planning time first before you jump in and get started. The idea of planning a PowerPoint presentation may seem like a waste of time, especially when you know your subject matter well. How do you plan a PowerPoint presentation? Most people start with an outline. It's a great way to organise your thoughts, identify your major points and eliminate the unnecessary thoughts and words from your presentation. An outline allows you to re-arrange your slides, add and subtract discussion subjects, and think about your presentation without becoming distracted by slide designs, special effects, and color schemes. Outlines can be created in Microsoft Word and then imported into PowerPoint, or created directly in the Outline tab in Microsoft PowerPoint. To bring up the Outlining toolbar in PowerPoint 2003 choose View - Toolbars-Outlining. You can promote or demote topics by choosing the relevant green arrow at the top of the Outling toolbar.

Atkinson starts with a storyboard, under the assumption that your slide presentation is going to tell a story. He offers tips and resources for telling your story and making a compelling slide presentation. How to Prepare a Great PowerPoint Presentation

From business pitches to board meetings, there are many reasons to put together a PowerPoint presentation. Regardless of the purpose of the PowerPoint presentation, there are some basics guidelines you should follow to make sure you get your point across correctly, clearly and professionally.

Analyze your Audience
First, much like any other public presentation, you need to consider your audience. Why are they here? What do they want to hear? What are they interested in? What do you hope they get from this presentation? What are your immediate short-term goals that you hope this presentation will accomplish? What are your long-term goals that you hope this presentation will accomplish? You need to figure out the answers to these questions, because if you don't know the answers you cannot properly guide the audience towards your goals.

Write an outline of your presentation
Next you need to write an outline of your presentation and what your talking points will be. At this point, forget about the actual PowerPoint and just focus on what information you want to convey to the audience. Pretend that you will not even have a PowerPoint. What will you say? Break it down to an introduction, body and conclusion. Make sure this outline hits every question and goal stated above when you analyzed your audience.

Use your outline to give your speech
Now that you have an outlined version of your presentation, start practicing your presentation. There is still no PowerPoint involved. Just focus on what you will be saying, what the audience will be hearing, and the key points you need to get across. Take this time to go back and edit the structure, flow and order of your presentation until you are comfortable with it, it meets your time requirements and it moves the audience on a logical flow towards your goals for the presentation. Note: It's always better to present the facts and assumptions and allow the audience to make the connection in their head, as opposed to you directly telling them what they should get from this presentation. Also take this time to remove any "clutter" that does not directly or indirectly lead to your goals.

Put together a PowerPoint to supplement your talking points
Now that you have outlined what you will be saying in your presentation, you can put together a concise, professional PowerPoint the way they were meant to be used-- to supplement the verbal portion of your presentation, not as a standalone presentation. While putting together your PowerPoint, here are some tips to remember:

Don't cram too much information into one slide. The audience should be listening to you, not reading.
If your presentation is constructed properly, you should be spending 2-3 minutes on slides with text. For slides with pictures, you can spend as little as 15 seconds on them, or you can use them as a placeholder or reminder-- but don't stay on any for longer then 3 minutes in order to keep the audience engaged.
Always use PowerPoint to display any compelling graphs, projections or numbers that cannot be emphasized enough verbally.
Simple is better.

The main thing to remember is that the PowerPoint is not giving the presentation-- you are! Put together your speech first, then put together the PowerPoint to help drive your arguments home.
